Castle Connections™ Travel, LLC shall not be liable for any injuries or any damage to any client or be subject to any claim, demand, injury, or damages, whatsoever, including without limitation, those damages from acts of passive or active negligence on the part of Castle Connections™ Travel, LLC, its officers, employees, or agents. Client does hereby expressly release and discharge Castle Connections™ Travel, LLC from all such claims, demands, injuries, damages, actions or causes of action. This Privacy Policy explains what personal data Castle Connections™ Travel, LLC ("we", "us", "our") collects through this website and when planning your travel, why we collect it, who we share it with, and the rights you have. - Information you give us when you request a quote, contact us, call, email or message us, or book a trip: for example your name, email address, phone number, mailing address, travel dates and preferences, the names and ages of the people travelling with you, special requests (which may include accessibility or dietary needs you choose to tell us about), and booking and payment details needed to make your reservation.
- Newsletter information: your email address and name if you subscribe to our newsletter.
- Website usage information, only if you consent to analytics or marketing cookies: pages visited, approximate location derived from your IP address, browser and device type, and how you arrived at our site.
3. How we use your data and our legal basis
- To prepare quotes, make and manage bookings, and provide our travel planning services. Legal basis: performance of a contract with you, or steps you ask us to take before entering into one (GDPR Art. 6(1)(b)).
- To answer your questions and messages. Legal basis: our legitimate interest in responding to enquiries (Art. 6(1)(f)).
- To send our newsletter. Legal basis: your consent (Art. 6(1)(a)). Every newsletter has an unsubscribe link.
- To understand how our website is used (Google Analytics) and measure our advertising (Meta Pixel). Legal basis: your consent through our cookie banner (Art. 6(1)(a)). These tools do not run unless you allow them.
- To keep business records and meet legal, tax and accounting obligations. Legal basis: legal obligation (Art. 6(1)(c)).
- Health-related details (for example accessibility or dietary needs) are used only to arrange your trip and only with your explicit consent (Art. 9(2)(a)).
4. Who we share your data with
We do not sell your personal data. We share it only as needed with:
- Travel suppliers needed to fulfil your booking, such as Walt Disney Travel Company, Disney Cruise Line, Universal Orlando, other cruise lines, Sandals and Beaches Resorts, hotels, airlines, car rental and transfer companies. They use your data under their own privacy policies.
- Service providers who process data on our behalf: Formstack (our contact and quote forms), Mailchimp (newsletter), Google (Google Analytics), Meta Platforms (Meta Pixel, and Facebook Messenger if you choose to contact us that way), and our website hosting and email providers.
- Authorities where required by law.
5. International transfers
We are based in the United States, so if you contact us from the European Economic Area, the UK or Switzerland, your data will be processed in the United States. Some travel suppliers are located in other countries. Where our service providers transfer personal data from the EEA or UK, they rely on recognised safeguards such as the EU-U.S. Data Privacy Framework or the European Commission's Standard Contractual Clauses. Transfers to travel suppliers are necessary to perform the travel booking you request (GDPR Art. 49(1)(b)).
6. How long we keep your data
We keep enquiry and quote information for as long as needed to respond to you and follow up on your request. We keep booking records for as long as required for legal, tax and accounting purposes. Newsletter data is kept until you unsubscribe. Google Analytics data is kept by Google for no more than 14 months and then deleted automatically. We then delete or anonymise your data.
7. Cookies and similar technologies
When you first visit, a banner asks whether you accept analytics and marketing cookies. Nothing other than strictly necessary cookies is set until you choose. You can accept, reject, or choose by category, and you can change your mind at any time using the Cookie Settings link at the bottom of every page. If you withdraw consent, we delete the related cookies from your browser.

Our quote and contact forms are provided by Formstack and shown inside our pages. Formstack may set cookies that are needed for the form to work and for security; see Formstack's privacy policy. Our web fonts are hosted on our own server, so no data is sent to font providers. You can also block or delete cookies in your browser settings.
8. Your rights
If you are in the EEA, the UK or Switzerland (and in many cases wherever you live), you have the right to:
- access the personal data we hold about you and receive a copy;
- have inaccurate data corrected;
- have your data erased;
- restrict how we use your data;
- receive your data in a portable format;
- object to processing based on our legitimate interests;
- withdraw your consent at any time, without affecting processing that took place before you withdrew it;
- lodge a complaint with your local data protection supervisory authority.

We protect personal data with reasonable technical and organisational safeguards against loss, theft, and unauthorised access, disclosure, copying, use or modification.
10. Children
This website is not directed at children, and children should not submit information to us. When an adult books a trip that includes children, we collect the children's details (such as names and ages) from that adult only as needed to make the booking.
11. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top shows when it was last changed. If we make significant changes, we will ask for your cookie consent again where required.
